The Problem

Harborview Realty Partners manages roughly 12,000 residential units across 40 properties, built up through a series of acquisitions that left the company running four different, largely unintegrated property management tools depending on which portfolio a building had originally belonged to. Leasing agents printed paper applications, mailed physical lease documents for signature, and manually re-keyed approved leases into whichever accounting system that property's original management company had used.

The fragmentation showed up everywhere: owners and investors received inconsistent, manually assembled financial reports depending on their portfolio, maintenance requests were tracked on paper tickets that regularly got lost between the front office and technicians, and lease turnaround — from application to signed lease — routinely took two to three weeks, well behind competing property managers in the same submarkets offering same-week move-ins.

The Solution

TechNova built Harborview's platform as a single system of record spanning leasing, maintenance, tenant communication, and owner reporting, replacing the four legacy tools with one Next.js and Node.js application backed by a unified PostgreSQL data model across all 40 properties. The leasing flow was redesigned end-to-end: prospective tenants apply online, automated credit and background checks run through integrated screening APIs, and approved leases generate automatically as DocuSign envelopes, cutting what used to be a multi-week, largely manual process down to a matter of days.

A tenant portal, built alongside the leasing flow, gives residents self-service rent payment through Stripe, a maintenance request form that routes automatically to the right technician or vendor based on property and issue type, and visibility into lease renewal timelines. Owners and investors got a parallel portal showing real-time occupancy, rent roll, and financial performance per property — data that previously took Harborview's accounting team days to assemble manually into spreadsheets each month.

We migrated all 12,000 units from the four legacy systems in a phased, property-by-property cutover over ten weeks, validating financial data reconciliation at each step before decommissioning the old tools for that portfolio segment.

Results

Lease turnaround time fell 73%, moving Harborview from a multi-week process to a same-week experience competitive with the newest properties in its markets — a change the leasing team credits directly with improved conversion on prospective tenant applications. Online rent payment adoption reached 89% within the first two quarters, sharply reducing the manual check-processing work that had previously consumed significant front-office time each month.

Owners now receive real-time, self-service financial reporting instead of monthly manually compiled spreadsheets, and maintenance resolution time dropped 44% once requests were automatically routed rather than manually triaged. Consolidating four legacy systems into one platform has also materially simplified Harborview's ability to onboard newly acquired properties, since new buildings now join a single existing system rather than requiring an entirely new tool evaluation.
